Financial Aid Coordinator
Summary:
The Financial Aid Coordinator advises undergraduate students and participates in all functions and processing of Federal, State and Institutional financial aid programs. The Coordinator processes daily tasks, monitors report, creates adjustments, resolves issues, and verifies student eligibility for student loans, grants and scholarships.
Duties & Responsibilities:
- Provide customer service and counseling to financial aid applicants and families via phone, email, in person and virtual visits.
- Process federal, state and institutional aid for eligible students so they can receive an accurate financial aid package and financial aid disbursements in a timely manner.
- Serve as primary Athletic Aid processor and liaison to the UIS Athletic department. Reconcile athletic aid and communicate with the Athletic department compliance representative.
- Reconcile Federal Work Study (FWS) and monitor student eligibility throughout the year.
- Manual package summer financial aid and repackaging any other students as necessary.
- Verify student aid applications for eligibility; process and track verification documents as well as other required documentation to complete aid eligibility.
- Resolve over-awards and adjust the student's budget accordingly and/or ensure funds are reduced or returned as needed.
- Coordinate the community service FWS student tutors with area schools, HR and financial aid. Ensure that the University meets the minimum obligation to employee reading and math tutors in local public K-12 schools.
- Participate in events and presentations for current and prospective students, such as new student orientations and open houses.
- Advise students on proper documentation for verification, Changes in Financial Situations and Dependency Overrides; and have knowledge on what is eligible supporting documentation.
- Participate in training and professional development opportunities.
- Represent the financial aid office on various groups or committees across campus, as delegated.
- Performs other related duties as assigned.
Minimum Qualifications:
1. Any one or combination totaling three (3) years (36 months) from the following categories:
A. college coursework in any field
- Associate Degree (60 semester hours) equals one (1) year (12 months)
- 90-semester hours equals two (2) years (24 months)
- Bachelor’s Degree or higher (120 semester hours) equals three (3) years (36 months)
B. work experience coordinating office, business, or customer service/relations activities.
AND
2. One (1) year (12 months) of higher-education, student services, or closely related experience.
Preferred Qualifications:
Experience with Banner student financial aid software
Knowledge, Skills & Abilities:
Knowledge of all federal, state, institutional, and private financial aid regulations as they apply to packaging and disbursement of financial aid, disbursement of refunds, and Satisfactory Academic Progress (SAP).
Knowledge of the student application process.
Knowledge of Microsoft Office – Outlook, Excel, Word and other computer programs.
Skill in mathematics and calculations.
Skill in customer service, and oral and written communication.
Skill in time management, organizing work assignments, and responding quickly and effectively to challenges.
Ability to interpret and apply internal and government policies, procedures and regulations.
Ability to work in an environment that can be fast-paced and stressful.
